Privacy statement

How we handle personal information

Reapitnow.ai, Inc. (“REAP”, “we”). This statement covers this website and the personal information we receive from visitors, prospective customers and partners. The REAP service itself is governed by each customer’s agreement and data processing agreement.

Status. This text is REAP’s working draft prepared for publication. It takes effect, and carries an effective date, once reviewed by counsel; until then it describes how we intend to operate this website.

1. Who we are

Reapitnow.ai, Inc., San Jose, California, is the controller of personal information collected through this website. Privacy requests: privacy@reapnet.ai.

2. Information we collect

Information you give us. When you use the contact form or write to us: name, work email address, company, role, the topic you choose and the message you write. When you attend an event or meeting with us: business-card details and notes about our conversation. When you enter a drawing we run at an event: the details on the entry form (name, work email, company, job title and, if you give them, a phone number and the problem that costs your team most), used to run the drawing, to reach the winner and to follow up about REAP.

HubSpot. When our HubSpot integration is enabled, the details you send through a form on this site (contact, demo and proof-of-value requests, document and template requests, confirmed update subscriptions and mutual NDA acceptances) also go to REAP’s HubSpot CRM, which HubSpot, Inc. operates for us as a processor, together with the address of the page you sent the form from. Your IP address and HubSpot’s visitor cookie go with them only if you chose “Accept analytics”.

Information collected automatically. Our hosting provider records standard server logs (IP address, browser type, pages requested, timestamps) for security and capacity purposes. Fonts and all other files are served from our own site, so no third-party font, script or analytics service receives your IP address unless you choose “Accept analytics” in the cookie banner. If you do, the analytics services in section 2a receive it when their scripts load in your browser; when HubSpot is enabled, so does HubSpot, and a form you send passes it to HubSpot with your details. This website sets no advertising cookies. See section 2a. The site also keeps its own counts of page views, form starts, clicks and the words typed into the site search, in aggregate and without cookies, IP addresses or identifiers (if the site is set to count only visitors who accept analytics, a random session id is kept for that browser session); the counts stay on our own servers and are deleted after 400 days.

Information from other sources. Business contact details from publicly available professional sources or partners, used only to contact you about REAP in a business capacity where the law allows.

2a. Cookies and similar technologies

We keep this short and literal. The table lists everything this site may store in your browser and why.

You can change your choice at any time with “Cookie settings” in the footer of every page. Choosing “Essential only” also deletes HubSpot’s cookies from your browser. Declining analytics does not change anything else about the site. We do not sell or share personal information for cross-context behavioral advertising, and we honor the Global Privacy Control signal as an opt-out where the law gives it effect (for example under the CCPA (opens in a new tab)/CPRA).

3. How we use it

  • To respond to your request, schedule demos, meetings and evaluations, and send the materials you ask for.
  • To run the security, operation and improvement of the website.
  • To contact business prospects about REAP, with an easy way to opt out in every message.
  • To comply with legal obligations and to establish, exercise or defend legal claims.

We do not sell personal information and we do not share it for cross-context behavioral advertising.

4. Legal bases (EEA, UK and Switzerland)

Performance of a contract or steps at your request before a contract; our legitimate interests in operating a business website, securing our systems and marketing to business contacts; consent, where we ask for it (for example, optional cookies); and compliance with law.

5. Sharing

We share personal information with service providers that host this website, deliver form submissions and email, keep our customer relationship records (HubSpot, when enabled) and support our sales and events work, under contracts that limit their use of the data to our instructions; with professional advisers; with authorities where required by law; and with a successor in a merger or acquisition, subject to this statement. The subprocessor list for the REAP service is published in the security packet and incorporated in our data processing agreement.

6. International transfers

We are based in the United States. Where we receive personal information from the EEA, the UK or Switzerland, we rely on the European Commission’s standard contractual clauses (and the UK addendum) or another lawful transfer mechanism.

7. Retention

Enquiries and business-contact records are kept for as long as we have an active relationship or a legitimate business reason to contact you, and are then deleted or anonymized. Server logs are kept for up to twelve months. Evaluation data handled in the REAP service is deleted at the end of an evaluation within the period stated in the statement of work.

8. Security

Encryption in transit, access limited to people who need it, and logging of access to systems that hold personal information. No method of transmission or storage is completely secure; report a concern to security@reapnet.ai.

9. Your rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict certain processing, to withdraw consent, and to complain to a supervisory authority. California residents have the rights described in the CCPA (opens in a new tab)/CPRA, including the right to know, to delete, to correct and not to be discriminated against for exercising those rights; we do not sell or share personal information as those terms are defined there. To exercise any right, write to privacy@reapnet.ai. We verify requests and respond within the period the law allows.

10. Marketing choices

Every marketing email carries an unsubscribe link. You can also write to us to opt out at any time.

11. Children

This website is for business use and is not directed at children under 16. We do not knowingly collect their information.

12. Changes

We will post changes on this page with a new effective date and, for material changes, notify business contacts by email.
